Clinic marketing: from patient source to multi-channel care

Clinic marketing usually breaks in two places: money goes into advertising without knowing which patient came from where, and people who left a phone number are not called back at the right time. This page describes how Cluvix Health ties three jobs to one set of patient data: receiving prospects from Zalo and your website, caring for them across channels, then measuring each source. Read on to see what is built in and what your clinic still has to do itself.

Why clinic marketing tends to fall apart midway

Someone sees an advertisement, messages on Zalo to ask the price, leaves a number in a website form, and books a few days later. In many clinics each step lives in a different tool: messages in a chat app, phone numbers in a spreadsheet, appointments in yet another program. Nobody can stitch those pieces into one journey, so the question "is this advertisement bringing in real patients?" gets answered by gut feeling.

Receiving prospects from Zalo, your website and the Zalo Mini App

A prospect, or lead, is someone who has shown interest but is not yet a patient. The Sales module gathers these people into one list whether they arrive from Zalo, from a registration form on your website or from the clinic's Zalo Mini App. Each person is assigned to a consultant as a ticket, and follow-up continues until they book or buy a service. This replaces phone numbers sitting in the inbox of whoever watches the form, where nobody else can see them.

Tagging a patient source on every patient and appointment

Patient sources are a catalog of the channels through which people reach the clinic, such as Website, Zalo, Facebook, referrals or events. Each patient carries a source recording where they first came from, and each appointment has its own source, defaulting to the patient's but editable. So a returning patient who came back through a referral is recorded correctly instead of being credited to the old advertisement.

Zalo has one automatic rule: switch on the Zalo source flag for exactly one source, and every new patient who messages through the Zalo OA gets a record with that source. When several small sources share a nature, such as many Facebook campaigns, you group them into a Patient source group to see combined figures and set KPI targets per group instead of adding by hand.

Marketing campaigns, promotions and measuring patient sources

The Marketing module is for whoever has to tell the clinic owner where the advertising money went. It has a campaign list with results, a Conversion screen showing prospects becoming patients by source, per-employee KPIs, and a report of Facebook advertising cost and results. Place advertising figures next to conversion figures to tell campaigns that bring real patients from ones that merely get clicks. Every number rests on the source tagged in the previous step, so sloppy source entry means skewed reports.

For offers handed out in the real world such as flyers or fairs, a promotion is a shared code usable by anyone who holds it. You generate a whole batch of codes at once, give each distribution round its own code, and at month end compare usage between one area and another.

Multi-channel care through Zalo OA, ZNS and the Zalo Mini App

Almost every patient uses Zalo, so the software connects to it through three routes that all run once an administrator links the clinic's Zalo OA a single time. The Zalo OA is the official page where patients message and staff reply. ZNS is a notification message sent by phone number, used for confirmations and reminders. The Zalo Mini App is a clinic page opened inside Zalo, publishing news and promotions and running mini games with a prize list and win rates set in advance.

When a patient opens the Mini App and agrees to share a phone number, the software looks the number up and attaches the Zalo account to the right record, recognising both the 090 and 8490 formats as one person. A number that never visited the clinic gets a new record with the Zalo source, so interested people do not slip away and consultants have a lead to follow.

ZNS templates, automatic messages and bulk campaigns

Each ZNS message uses a template approved by Zalo for the clinic's OA. You tie a template to an event: send immediately when an appointment is booked, let the software scan tomorrow's appointments for reminders, or use it manually for a campaign. Template parameters, such as patient name or appointment time, are mapped to data in the software and filled automatically. A template not yet approved by Zalo cannot be sent, and a test button sends to the OA administrator's number before real use.

To announce a program or invite past patients back, you create a ZNS campaign: pick a group of patients from the list or type in a list of phone numbers. The campaign runs in the background and reports each recipient's status (pending, succeeded, failed, skipped), can be paused and resumed, and each patient receives exactly one message per campaign. You choose the audience yourself; the software does not segment on your behalf.

One shared inbox for every patient messaging channel

A patient asks about price on Facebook, sets a time through Zalo, then keeps chatting in the website widget: three channels easily become three people on duty who know nothing of each other. The unified inbox gathers Zalo OA, personal Zalo, Facebook, Instagram, Telegram and website chat into one list. Each conversation has one owner, assigned automatically to whoever is on duty and carrying the lightest load, or claimed by staff so that two people never message the same patient.

The clinic sets a first-reply target and a resolution target; conversations past due are flagged late and the owner is notified. After resolution the patient can be invited to rate from 1 to 5, tied to the responsible staff member. Consultants also use canned replies for price lists or directions. Once the phone number is known, the conversation attaches to the patient record so staff can see visit history while chatting.

Following patients after they leave the clinic

Marketing does not stop at the first visit. A care task is an appointment to check on a patient on a specific date, with a topic, contact channel, assignee and outcome. The channels recorded on a task include phone call, Zalo message, SMS, Facebook and Viber, but that is to log what staff did, not to send in bulk automatically. After each treatment session the software creates a task for the next day, while milestones such as after 1 month or 6 months are chosen per service.

How it differs from manual work or separate tools, and who needs it

Working by hand with spreadsheets and chat apps is cheap at first, but the data is scattered: to learn how many patients a campaign brought in you must reconcile three places. Stitching separate tools means each one keeps its own patient list and data is copied back and forth. In Cluvix Health, messages, leads, sources, ZNS and care tasks run on the same patient data as appointments and medical records, so source figures come from the very records being treated.

The solution is for marketing staff, consultants, telesales, customer care staff and clinic owners. We do not promise any number of new patients: the software shows you which sources bring patients in, and deciding where to invest remains yours.

Which specialty clinics can use it

This part is shared by every specialty; each specialty also has its own exam flow. See the details: Obstetrics & Gynecology, Dentistry, Pediatrics, Dermatology & Aesthetics and other specialties.

Frequently asked questions

Does the software send Zalo messages to patients automatically?

Yes, through ZNS. After you connect the Zalo OA and have a ZNS template approved by Zalo, a booking confirmation goes out as soon as the appointment is saved, and a reminder is sent for the next day's appointments. You can also create a ZNS campaign for a chosen group of patients or a list of phone numbers.

Can I send bulk SMS and email?

The product documentation currently describes bulk campaigns through ZNS. SMS appears as a channel for logging a care task that staff carried out, and bulk email is not in the documentation we have. If you need this channel, ask us during a demo so we can confirm it against your service plan.

How do I know which advertising brings real patients?

Tag a patient source on every patient and appointment, then view the Conversion screen of the Marketing module by source. You can place the Facebook advertising cost report next to conversion figures to compare. Accuracy depends on staff entering the source correctly, and you can group similar sources into a source group for combined views.

Can Facebook and Zalo messages be gathered in one place?

Yes. The unified inbox gathers Zalo OA, personal Zalo, Facebook, Instagram, Telegram and website chat. An administrator connects each page or account once, and each conversation has an owner, a reply-time target and a satisfaction survey if the clinic turns it on.
