Clinic management software for Physical Therapy

Per-session treatment plans and recovery progress tracking.

How a Physical Therapy clinic runs

Physical therapy has one trait that makes it manage differently from ordinary consultations: results arrive slowly and not in a straight line. A course usually runs ten to twenty sessions, progress between two consecutive sessions is barely perceptible, and that alone is what makes patients quit halfway through even when they are improving. Much of the effect also comes from exercises the patient does at home between sessions, the part the therapist never sees. On top of that, a patient often passes through several therapists across shifts, so the notes have to be good enough for whoever takes over to know what was done last time and why. Per-session treatment plans, recovery progress tracking over time and prescribed exercise logging are what CluvixHealth adds at exactly those three points, above the modules for scheduling, electronic records, billing and patient care.

A visit, end to end

  1. Initial assessment and planning

The first session records the presenting condition and sets measurable goals, and the plan is then split into sessions with their own content. The patient knows how many sessions the course involves rather than coming one visit at a time.

  2. Running the session

The therapist opens the content for that session and records what was done and what was adjusted against the plan. The previous session sits alongside, so a covering therapist does not have to ask.

  3. Measuring and logging progress

Tracked measurements are recorded each session and ordered over time. Small gains between sessions become visible once placed next to the starting point.

  4. Assigning home exercises

Prescribed exercises are stored in the record and sent to the patient with repetitions and frequency. The next session reopens that same list for comparison.

  5. Reminding the next session

The system sends a Zalo reminder before each session. A patient who misses one lands on the follow-up list, rather than the clinic discovering the dropout only when the course should have ended.

What usually goes wrong in Physical Therapy

  • Patients quit because they cannot see progress

Between two consecutive sessions the change is usually too small to feel. The patient concludes it is not working and stops, while the measurements against the first session say the opposite.

How CluvixHealth handles it: Progress tracking places today figure next to the starting point rather than next to the previous session, so accumulated improvement becomes visible and can be talked about.

  • Nobody knows whether home exercises were done

Most of the recovery happens outside the clinic. When exercises are only explained verbally, the next session has nothing to compare against except both sides memory.

How CluvixHealth handles it: Prescribed exercises are stored in the record with repetitions and frequency, sent to the patient, and reopened intact at the next session.

  • Changing therapist breaks the thread

A shift change leaves the incoming therapist unaware of what was adjusted last time and why. Asking the patient usually produces an answer too imprecise to work from.

How CluvixHealth handles it: The per-session plan records both what was done and what was adjusted, so a covering therapist reads it and picks up the thread instead of starting over.

  • Nobody can say how many sessions are left

When a course is not written down as a plan, neither the patient nor the clinic can answer how much longer it will take and how much more it will cost.

How CluvixHealth handles it: The per-session plan shows sessions done and sessions remaining, so questions about time and cost have an answer from the first visit.
