Clinic management software for Dentistry
Tooth charting, treatment plans and lab management.
How a Dentistry clinic runs
Dental clinics differ from most other specialties in one way: the record does not belong to a visit, it belongs to a tooth. A patient may have tooth 26 filled this year, come back two years later for tooth 27, and the dentist needs the history of the whole arch on screen rather than a stack of old visit notes. Treatment rarely finishes in one sitting either. Orthodontics runs across dozens of appointments, implants are staged months apart, and between those sittings there is usually a lab case that has to go out and come back on time. Those three traits are where general clinic software starts to feel tight: it records by visit, while dentistry needs to record by tooth and by treatment plan. CluvixHealth addresses exactly those three points with a visual per-tooth chart, multi-visit treatment plans, and lab and dental material tracking, sitting on the shared modules for scheduling, electronic records, inventory, billing and patient care.
A visit, end to end
Booking and reception
Patients book through Zalo or by phone, reception confirms, and the chair is held for that slot. For a follow-up inside a running treatment plan, the next appointment is already in the plan, so nobody books it from scratch.
Examination on the tooth chart
The dentist marks findings directly on the per-tooth chart instead of describing them in prose. At the next visit, opening that tooth shows everything already done to it, without reading back through old notes.
Building the treatment plan
A case that needs several visits is split into ordered steps, each with its own procedure and cost. The patient knows how many visits remain and what the total is, and the clinic knows which steps are done and which are still open.
Sending and receiving lab work
Lab cases are recorded with a due date, and the materials used are deducted from inventory. A case past its due date stays on the waiting list rather than disappearing from view.
Payment and the next appointment
Payment is taken per visit or for the whole plan, with an e-invoice issued at the counter. The next appointment is booked before the patient leaves the chair, and the system sends a reminder ahead of the date.
What usually goes wrong in Dentistry
Patients drop out mid-plan
Orthodontic and implant cases run for months. Missing two or three appointments in a row is often enough for a patient not to come back, and the clinic loses the rest of that case without noticing, because the record is still open.
How CluvixHealth handles it: The multi-visit treatment plan shows which steps are done and which are overdue. The patient care module sends Zalo ZNS reminders before each appointment, and the list of stalled cases is something you can look at rather than something you have to remember.
Late lab cases surface only when the patient arrives
Crown work takes anywhere from a few days to two weeks. When tracking lives in a notebook or one person's messages, a late case shows up exactly when the patient is already in the chair.
How CluvixHealth handles it: Lab tracking records the sent date and due date per case, with materials deducted from inventory. Overdue cases sit on the clinic waiting list instead of depending on the memory of whoever sent them.
Per-tooth history buried in handwritten notes
Prose records are slow to search: the dentist reads through several past visits to reconstruct what was done to which tooth. For long-term patients, that repeats at every appointment.
How CluvixHealth handles it: The visual tooth chart attaches history to each tooth position, so opening one tooth shows the full picture. The electronic record keeps the detailed notes; the chart is simply a faster way in.
Dental materials go missing with no traceable point of loss
Filling materials, burs and implant components are consumed case by case but usually counted monthly. By the time a discrepancy shows up, it can no longer be traced to a specific case.
How CluvixHealth handles it: Inventory is deducted per treatment case rather than per stock-take period, so a discrepancy attaches to a specific case at the moment it happens.
